Privacy policy
Who we are
Numerela ("we", "us") provides online bookkeeping, accounting and back-office support to businesses and accounting firms. We are responsible for the personal data described here. You can contact us about privacy at hello@numerela.com.
What we collect
- Enquiries. The name, email address, business name and message you send through the contact form, the get-started form or the help chat, and anything else you choose to tell us.
- Email, phone and WhatsApp. Your contact details and the content of the messages you send us.
- Technical data. Basic information such as your IP address and browser type, handled by our hosting provider to deliver and protect the website.
- Clients. Once you engage us, the business, accounting and payroll records you share with us so that we can do the work set out in your engagement letter.
Please do not send ID, tax, bank or card numbers, passwords or documents through the website forms or the chat. We will tell you how to send documents securely when you become a client.
How we use it
We use your details to reply to your enquiry, prepare a quote, provide the services you engage us for, keep the website secure and meet our legal obligations. We do not sell your personal data and we do not use it for advertising.
Our legal bases, where the UK or EU GDPR applies, are: your consent (for example when you submit a form), steps you ask us to take before a contract, performing our contract with you, legal obligations, and our legitimate interests in running and securing the business, which you may object to.
AI tools
We may use software, including AI tools, to read and organise documents and data. A qualified accountant reviews the work before it reaches you, and no decision about you is made by AI alone.
Who we share it with
- Cloudflare, which hosts this website, delivers it securely and routes email sent to our addresses.
- Resend, which delivers the enquiries you submit on the website to our team by email.
- WhatsApp (Meta), if you choose to message us there, under its own terms.
- For clients: the accounting, document and communication tools we agree with you before your data goes into them.
- Professional advisers and authorities, where the law requires or you ask us to.
These providers act on our instructions or under their own terms, and are expected to keep data secure and confidential.
International transfers
We work from Sri Lanka, and our service providers operate global networks, so personal data may be handled outside your country. Where the law requires safeguards for such transfers, we use them, for example standard contractual clauses, and we will give you details on request. For UK and EU clients we can sign a data processing agreement. When an accounting firm uses us for white-label work, we process its clients' data only on the firm's instructions.
How long we keep it
Enquiries that do not lead to an engagement are kept for up to 24 months after our last contact and then deleted. The help chat does not store your messages. Client records are kept for the length of the engagement and then for as long as the law or your agreement requires, after which they are deleted or anonymised.
Security
The website is hosted on secure Cloudflare infrastructure, with encryption in transit and at rest. Access to client data is limited to the people who need it. No system is perfectly secure, so we ask you not to send sensitive data through the website forms. See also our data security page.
Your rights
Depending on where you live, you may have the right to access your personal data, correct it, have it erased, restrict or object to its use, withdraw consent, and receive a copy of it. To use these rights, email hello@numerela.com. We may need to confirm your identity, and some records must be kept by law. If you are not happy with our response, you can complain to your local data protection authority. We would appreciate the chance to put things right first.
Children
Our services are for businesses and adults. We do not knowingly collect data from children.
Changes
We will post any update on this page with a new date.
Terms of service
The website
These terms cover your use of this website and the help chat. By using them you agree to these terms. The content is general information only. It is not professional tax, accounting or legal advice and does not take your circumstances into account.
Our services
We provide services only under a written engagement letter or quote that sets out the scope, fees and terms. Visiting the website, using the chat, sending an enquiry or messaging us does not create a professional relationship. The engagement letter prevails over these terms for the work it covers. We may decline any enquiry.
Unless your engagement letter says otherwise, we do not give tax advice or sign or file tax returns under the laws of the UK, the USA, Australia or any country other than Sri Lanka. You or your own licensed adviser remain responsible for those filings. For accounting firms using our white-label service, you remain responsible for your own client relationships, professional sign-off and regulatory obligations.
Quotes and fees
We do not publish prices. A price applies only when it is confirmed in a quote or engagement letter. Unless stated otherwise, fees are in US dollars and exclude any sales tax, VAT or withholding tax, and bank or card charges.
Using the website
Please do not misuse the website: no attempts to gain unauthorised access, introduce malicious code, scrape it at scale or send unlawful content. The Numerela name, logo and content belong to us and may be viewed for your own non-commercial use. Links to other websites are provided for convenience, and we are not responsible for them.
Liability
To the extent the law allows, we are not liable for loss arising from reliance on the general information on this website, or from the website being unavailable or containing errors, and we are not liable for indirect or consequential loss. Nothing in these terms limits liability for fraud, wilful misconduct, death or personal injury caused by negligence, or anything that cannot be limited by law, including consumer rights that cannot be excluded. Liability for engaged services is set out in the engagement letter.
Governing law
These terms are governed by the laws of Sri Lanka, and the courts of Colombo have jurisdiction, except that you keep any right you cannot waive to bring proceedings in the courts of your own country.
Changes and contact
We may update the website and these terms. The version on this page with its date applies. Questions: hello@numerela.com.
Refund & cancellation policy
Fees, billing and notice periods are set out in your quote and engagement letter. You can end an ongoing service by giving the notice stated there. Work already done is payable. If you have paid for work we have not started, we will refund it, unless your agreement or the law says otherwise. If you are unhappy with our work, tell us at hello@numerela.com and we will work with you to put it right.
Cookie notice
This website does not use advertising or tracking cookies, and we do not currently run analytics. Our hosting provider, Cloudflare, may set strictly necessary security or performance cookies to protect the site and keep it available; these do not need consent. The help chat does not set cookies or store your conversation in your browser. If we add analytics or any other non-essential cookies, we will update this notice and ask for your consent first.
Links such as the WhatsApp button take you to another service, which may set its own cookies under its own policy. You can block or delete cookies in your browser settings, although blocking necessary cookies may stop forms or security checks from working.
